Registration
Each booth is allowed up to four representatives who shall register and wear a vendor badge in the booth. Four badges will be provided with the cost of booth. Badges will be mailed to you after we receive payment. If you do not receive them in the mail, be sure to get them when you set up on Sept. 21st. Only vendors wearing vendor passes will be allowed in free. Please arrange this with your helpers, they will not be allowed to enter without the vendor pass or buying a ticket. Vendor badges will be good for this years trade show only. Booths must be attended at all times during show hours.
Booth space assignment
Each application must be completed and be accompanied by a deposit check for at least 50% of the total booth cost to reserve your space. The balance will be due no later than Wed. Sept. 12th, 2007. Georgia Sportsmen Events will try to locate by vendor preference, however we reserve the right to make changes in the floor plan and assignment in to best serve the interest of the show and its collective exhibitors.
Sharing of space
To insure proper operation and presentation of the show, vendors must contract individually to exhibit. Sharing of space is strictly prohibited, unless approved in writing.
Shipping information
Georgia Sportsmen Events L.L.C. will not accept shipments prior to the show.
Booth furnishings
Georgia Sportsmen Events L.L.C. will rent tables for your booth. You must reserve them on your application and have this turned in by the deadline, September 12th in order to get the tables. Tables are standard 8 foot and will be rented for $15 each for the duration of the show. Please click here to download the form if you wish to rent tables. If you damage the table you buy it. Other than that we furnish no other materials whatsoever and you can furnish your own tables if you wish. Each booth will marked and numbered. Vendors will be provided a diagram in this package and staff will be on hand at setup time to help you find your assigned space.
Installation
There is a 12×14 entrance door in the front of the building for vehicle entry and a loading dock in the rear. These will be available during setup and breakdown times. Installation and setup times will be 8am-8pm on Friday September 21st.
All booths must be ready before 8am on Saturday September 22nd.
Space Limitations
All booths and contents must be confined to contracted space and will not encumber the visibility of adjoining booths. Georgia Sportsmen Events L.L.C. reserves the right to remove any exhibits that don’t conform to these rules or Federal, State and local requirements and laws.
Payment deadlines
50% of total booth cost due with application upon reserving a space.
Full payment for space and utilities is required by September 12th, 2007.
Cancellations
Deposits are nonrefundable. Any other refund requests will be considered by Georgia Sportsmen Events. No refunds will be made after Sept. 12th, 2007.
Restrictions/Security
Security will be provided by Licensed Law Enforcement officers, the Baxley Police Dept and the Appling County Sheriffs Dept. Security will be provided on site from 8am Sept. 21st until 8pm Sept. 23rd, 2007. They will provide normal protection against loss. Georgia Sportsmen Events will not assume responsibility for lost, damaged or stolen items. Exhibitors are urged to take the necessary measures to prevent loss or stolen items.
No distribution of promotional materials will be allowed outside of contracted space.
Exhibitors are responsible for collecting any appropriate taxes and fees on products sold.
Any restrictions for use of purchase must be printed and visible for public view.
Georgia Sportsmen Events will not assume any responsibility for the safety of the property of exhibitors for theft, damage by fire, accidents, acts of God or other reasons. Exhibitors are urged to insure products and materials presented at their own expense.
Door prizes
Georgia Sportsmen Events will be giving away door prizes throughout the weekend. If you donate prizes your business or organization will be recognized during the show.
Vendor Parking
Vendors will have a private parking area in the rear of the building. Once you unload inside the building, park your vehicle around in the back. This will allow the public to park near the entrance. There is a vendor only entrance & exit in that area. You will need to wear your vendor badge during the show, so we can make sure this area stays private.
Breakdown and removal
Breakdown times will be Sunday Sept. 23rd, 5 p.m.- 10 .m. and Monday Sept. 24th, 8 a.m.-2 p.m.
No exhibit may be dismantled prior to 5 p.m. on Sunday Sept. 23rd. No vehicles are allowed inside until booth is totally dismantled and ready to be loaded or until after 6 p.m. on the 23rd.
